The Role
As Executive Assistant to the CEO, you work directly with our founder, Frank Latzer, and act as his trusted right hand in day-to-day operations. You keep the CEO’s office running smoothly - from calendar and travel management to confidential correspondence, financial administration, and cross-border coordination with clients and partners.
Key Responsibilities CEO & Office Support
· Provide professional administrative and organizational support to the CEO
· Coordinate calendars, appointments, meetings, and internal/external communication
· Ensure smooth day-to-day office operations with reliability and discretion
International Coordination
· Organize international meetings, business trips, travel schedules, and related documentation
· Communicate confidently with clients, candidates, partners, and internal stakeholders in German and English
· Welcome and host international visitors, clients, and business partners
Documents, Presentations & Reports
· Prepare, edit, and format presentations, confidential reports, correspondence, and meeting materials
· Support the creation of monthly reports, analyses, and internal documentation
· Contribute to international strategy papers and management-level project documents
· Support consultants in preparing client pitches and proposals
Finance & Accounting Administration
· Prepare bookkeeping documentation for the external tax advisor
· Manage travel expense reports and credit card statements
· Track and coordinate incoming and outgoing invoices
· Support general HR administration tasks and coordinate with the external payroll provider
· Assist with onboarding logistics and maintain personnel-related documentation
Internal Collaboration
· Work closely with consultants, researchers, and the wider Munich team
· Foster a structured, service-oriented working environment across the team
· Support process improvements and professional standards in daily operations
Office Management
· Manage office supplies, service contracts, and vendor relationships (e.g. IT, cleaning, building management)
· Oversee the organization of the Munich office space, including meeting rooms, equipment, and common areas
· Coordinate office-related projects such as equipment upgrades, workspace improvements, and relocations
· Serve as the main point of contact for facility-related matters and external service providers
Your Profile
· Completed commercial apprenticeship, university degree, or a comparable qualification
· 5+ years of experience as an executive assistant, in office management, or a comparable role - ideally in an executive search or management consulting environment
· Excellent German and English skills, spoken and written - used daily in client-facing and internal communication
· Strong organizational skills, a structured working style, and the ability to prioritize effectively
· Discretion, reliability, and professionalism when handling confidential information
· Experience with preparatory bookkeeping, travel expenses, and invoice processing
· Confident use of MS Office, especially Outlook, Word, Excel, PowerPoint, and Teams
· Proactive, personable, and communicative - with a strong sense of ownership and team spirit
