Job Summary
The Specialist II, Service Operations plays a critical role in supporting ASM's European Service organization through the administration of spare parts, service operations, procurement activities, and office management. This position serves as a key interface between customers, Field Service teams, Service Management, Finance, and suppliers, ensuring efficient execution of service processes, timely customer support, and accurate business administration.
The successful candidate will be highly organized, detail-oriented, customer-focused, and capable of managing multiple priorities in a fast-paced, international environment.
Key Responsibilities
Spare Parts Administration
- Prepare and manage spare parts quotations, including spare part reactivations, extensions, and GLP requests.
- Support customers with enquiries regarding part availability, delivery status, and overdue shipments. Follow up on overdue invoices and payment related issues
- Coordinate requests for revised customer purchase orders when pricing or part number changes occur.
- Provide administrative support for tool-down situations, including shipment coordination, escalation and internal meetings
- Serve as the primary administrative contact for our German customers,
Service Administration
- Create service quotations for both contract and time-and-material services.
- Prepare and maintain service contracts and service orders within SAP S/4HANA, including equipment assignments and billing plans.
- Support service invoicing activities in collaboration with regional customer support teams.
- Monitor and report on key service performance indicators, including Field Service inventory management.
- Manage service work-in-progress (WIP) and deferred revenue activities in partnership with Finance and Business Control.
- Support monthly forecasting activities with Service and Marketing leadership.
- Ensure accurate administration and tracking of service-related transactions and documentation.
Procurement & Purchasing
- Create and manage purchase requisitions (PRs) and purchase orders (POs) for internal purchases and service projects.
- Obtain supplier quotations and support procurement activities.
- Coordinate order processing and purchasing administration in collaboration with other administrative team members.
Office & Administrative Support
- Coordinate travel and hotel bookings for employees and visitors, managing relationships and annual agreements with local hotel partners
- Manage relationships and annual agreements with local hotel partners.
- Handle incoming and outgoing mail and courier services.
- Coordinate activities with external vendors and service providers, including ordering and managing office supplies and equipment.
- Support office health, safety, and workplace standards.
Qualifications & Experience
Education
- Completed commercial vocational training, business administration, or equivalent qualification.
Experience
- Several years of experience in administration, customer support, service operations, purchasing, or a similar business support role.
- Experience working in an international, customer-facing environment is preferred.
Technical Skills
- Strong proficiency in Microsoft Office applications as well as practical experience with SAP (ideally S/4 HANA)
- Strong numerical and analytical abilities and experience with quoting, invoicing, purchasing, and contract administration processes.
Languages
- Excellent written and verbal communication skills in English.
- German language skills are highly desirable.
