We are seeking a proactive Administrative Assistant to join our team in Hüllhorst.
Whether you already have experience in export and customs administration or are looking to build a career in this field, we offer training, support, and development opportunities to help you grow.
Working with colleagues, logistics partners, and international customers, you will help coordinate global shipments of high-value instruments while developing expertise in export operations, customs compliance, and international trade processes.
Following our recent AEO certification, we are committed to maintaining the highest standards of compliance and operational excellence.
Flexible working hours are available between 07:00 and 17.00.
Responsibilities:
Key Responsibilities

Coordinate shipment bookings and collections with freight forwarders and logistics providers

Prepare and maintain shipping documentation and records

Create and verify pro forma invoices and shipment paperwork

Liaise with internal teams and external logistics partners

Ensure accurate reporting and record keeping

Support international shipping and administrative activities
With training and development, you will also:

Prepare export and customs documentation

Support customs compliance and AEO requirements

Process export transactions within ATLAS
-
Assist with tariff classifications and regulatory reporting

Prepare Intrastat declarations

Develop expertise in international trade and customs regulations
Qualifications:
Your Profile
Essential
-
Experience in administration, coordination, office support, customer service, logistics, or a similar role

Strong organisational skills and attention to detail

Confidence working with systems, data, and documentation

Fluent German and English (written and spoken)

Strong communication and teamwork skills

A positive attitude and willingness to learn
Desirable

Experience in export administration, logistics, shipping, or supply chain

Knowledge of customs procedures, international trade, or freight forwarding

Familiarity with ATLAS, Intrastat, AEO requirements, or tariff classifications

Starting with core administrative responsibilities, you will receive training and development to expand your knowledge and take on increasing responsibility over time. This role can provide a pathway into specialist positions in export operations, logistics, customs compliance, and international trade.
Experience in customs and export processes is beneficial but not essential. We are equally interested in candidates with strong administrative skills, a desire to learn, and the potential to develop into a subject matter expert.
