Support Business Operations & Automation initiatives by keeping projects on track, improving visibility on progress/risks, and taking ownership of PMO-style coordination across stakeholders, tools, and documentation.
Own the day-to-day project coordination for Business Operations & Automation initiatives (agendas, actions, timelines, dependencies).
Maintain project plans and status reporting (weekly updates, RAID log: risks/assumptions/issues/dependencies).
Coordinate cross-functional stakeholders (Operations, Automation, Product/Engineering, Legal/Compliance, Finance) to unblock delivery.
Create and maintain high-quality documentation in Notion (project pages, meeting notes, decision logs, SOPs).
Support process improvement and automation initiatives by mapping current workflows, identifying pain points, and tracking implementation.
Help with operational reporting and basic analysis (e.g., compiling metrics, trend summaries, and dashboards inputs where needed).
Support internal communications: publish updates, prepare slides/briefs, and keep stakeholders aligned.
Run independent analysis on operational pain points; propose improvements and track outcomes.
Take ownership and responsibility for outcomes, proactively following through from idea execution.
Present insights and improvement proposals to senior leadership.
Shadow and support vendor management activities (where relevant) to learn procurement/vendor governance processes.
Currently enrolled in (or recently graduated from) a degree in Business, or similar.
First experience (internship, working student, university project) in project coordination, operations, consulting, or PMO is a plus.
Strong organisation and prioritisation skills; you enjoy turning ambiguity into structure.
Clear written communication; comfortable summarising discussions and decisions.
Comfortable working with tools like Notion, Google Workspace (Docs/Sheets/Slides); curiosity for automation/AI tooling is a plus.
Basic understanding of KPIs and company metrics (what to track, how to interpret trends, and how to communicate them clearly).
Basic analytical skills (can work with spreadsheets, simple metrics, and structured data).
Proactive and dependable: you follow through, ask questions early, and raise risks when you see them.
Fluency in English (German/Spanish are a plus).
