As an Administrative Assistant, you will play a key role in ensuring the smooth operation of our office by coordinating administrative processes, managing communications, and supporting internal teams. We are looking for someone with excellent organizational skills, strong attention to detail, and a positive, service-oriented attitude.
Key Responsibilities
- Provide comprehensive administrative and organizational support to management and internal departments.
- Manage incoming phone calls, emails, and correspondence in a professional and timely manner.
- Welcome visitors and serve as the first point of contact for clients, business partners, and suppliers.
- Coordinate appointments, meetings, and calendars.
- Prepare, edit, format, and maintain business documents, reports, presentations, and correspondence.
- Organize and maintain digital and physical filing systems.
- Process incoming and outgoing mail and coordinate courier services when required.
- Order office supplies and monitor inventory levels.
- Support invoice processing and assist with general administrative accounting tasks.
- Coordinate travel arrangements and business meeting logistics when necessary.
- Maintain accurate records, databases, and company documentation.
- Assist with internal projects and contribute to process improvements.
- Collaborate closely with colleagues across different departments to ensure efficient office operations.
- Perform additional administrative duties as assigned.
Requirements
- Completed vocational training or comparable qualification in Office Administration, Business Administration, or a related field.
- Previous experience as an Administrative Assistant, Office Assistant, Office Administrator, Executive Assistant, or in a similar administrative role.
- Excellent organizational and time management skills.
- Strong written and verbal communication skills.
- High level of accuracy and attention to detail.
- Professional, friendly, and customer-focused approach.
- Ability to manage multiple priorities while meeting deadlines.
- Strong problem-solving skills and the ability to work independently.
- Good knowledge of Microsoft Office, including Outlook, Word, Excel, and PowerPoint.
- Experience with office management software or ERP systems is an advantage.
- Reliable, trustworthy, and able to handle confidential information with discretion.
- Fluent German is required; English language skills are considered an advantage.
