About the role
As Senior Executive Assistant to Elias Schneider, the CEO and co-founder of Codesphere, you'll be the operational backbone that keeps Elias focused on what matters most. This is a demanding, high-trust role at the center of a fast-scaling company. You'll have visibility into nearly everything, and the way you manage time, information, and priorities will directly shape how effectively our Elias leads.
No two days look the same: priorities shift, travel comes up at short notice, and you'll be the person making sure the right things still happen at the right time. In return, you'll work shoulder-to-shoulder with our founder, sit close to every major decision, and play a real part in Codesphere's growth story.
What you'll drive
Own and prioritise the CEO's calendar and coordinate complex international travel – protecting focus time, resolving scheduling conflicts, arranging flights, hotels, local transport, and keeping expense reports accurate and on time
Manage the inbox, organising, prioritising, and surfacing what needs the CEO's attention
Organise meetings and keep them on track: handling logistics, collecting materials, tracking action items, and following up on deadlines
Act as a trusted gatekeeper and first point of contact, managing incoming requests and communicating on the CEO's behalf with internal and external stakeholders
Keep the CEO one step ahead by anticipating needs, flagging what's urgent, and handling the details before they become problems
Support a range of ad hoc projects and day-to-day operational tasks as they arise
What makes you a great fit
At least 8 years of experience as an executive assistant in one or two fast-paced environments
Professional working proficiency in both German and English
Reliability and an eye for detail: you catch the small things and take pride in accurate, high-quality work
A proactive mindset: you don't wait to be told what to do; you look for ways to be helpful and enjoy solving problems independently
Discretion: you understand the importance of confidentiality and handle sensitive information with the utmost integrity
You'll be primarily based in our Karlsruhe office, with the option to work from home on a regular basis
Calm and adaptable when plans change, able to pivot between different tasks quickly
