Job Description
Why we need your expertise:
Following our move to our flagship office at Am Tacheles in Berlin, AUTODOC continues to invest significantly in our real estate and facilities management. As we expand our footprint, we are overhauling our Facilities Management team to transition from traditional space maintenance to providing a first-class workplace experience. We are currently establishing a new entity to manage legal obligations and tenant relations, requiring a strategic leader to standardise our operations across Europe and ensure our physical spaces reflect our high-performance culture.
As such, we are hiring a Berlin-based Head of Real Estate and Facility Management (m/f/d) to own and optimise our office and co-working space portfolio across Germany, Portugal, Moldova, Ukraine, Poland and the rest of Europe. Reporting directly to the CEO as the most senior employee in the new entity, you will lead a diverse team of up to 15-17 colleagues spread across all our locations. Your mission is to move away from "desk management" toward a comprehensive office and location strategy. You will be responsible for restructuring the team to support a desired increase in employee office attendance, establishing clear Service Level Agreements with the wider organisation and external parties, and managing the real estate budget. Additionally, you will oversee tenant management, including invoicing, legal compliance and conflict resolution for our leased spaces.

What you will do:
In this role, your responsibilities will include:

Vendor Management: Own and manage vendors, including contract negotiation and administration across facilities management, workplace services and project delivery.

Procurement & Tenders: Define and lead RFPs/tenders for FM services, fit-out partners and other workplace-related vendors.

Performance Frameworks: Define and manage SLAs to clear KPIs and governance frameworks to ensure exceptional service delivery, cost efficiency and value generation.

Financial Optimisation: Optimise P&L, monitor, track and report developments impacting resources (time, people and money) for this crucial area.

Portfolio Accountability: Oversee the global real estate portfolio, including lease terms, key dates, renewals and terminations.

Cross-functional Collaboration: Work in harmonious partnership with People & Culture, Legal and Finance functions to ensure healthy, compliant and risk-mitigated agreements in a culturally reinforcing environment.
Qualifications
What you bring to the role:

Proven Track Record: Verifiable background leading Facilities Management or Property Services across multiple international office locations.

Lifecycle Management: Deep experience managing real estate lifecycles, from office selection and fit-out to relocations and closures.

Tenant Relations: Experience working with (sub-)tenants, managing complaints and handling invoices.

Financial Acumen: Full P&L responsibility for a significant real estate budget.

Leadership Skills: Experience leading teams of similar size (15 or more people) across several different locations.

Communication: Strong communication skills, with the ability to rapidly switch between interfacing with senior leaders, new joiners, client stakeholders and tenants.

Language Skills: Fluency in German and English is required; a strong grasp of Russian and/or Ukrainian is highly advantageous.
