Clerk I, Support Services position located at Mainz-Kastel District Office, Full-time 40 hrs.

I. SUMMARY
Under the general guidance of the Senior Support Services Administrator, the Clerk I Support Services performs their assigned duties with the minimum of supervision. Performs the driving of the company vehicles to support the warehouse and distribution activities. Performs all activities in relation to the receipt and distribution of mail processed through the military APO and German post office. Performs the control of bank records received at the central storage area from branches, HQ’s, departments and districts. Performs all physical warehousing activities related to supply, equipment, and other bank and government property items. Performs all administrative procedures and processes including the use of information technology support when using email/internet and software applications and ensuring integrity and compliance. Maintains an orderly warehouse including the effective utilization of space and this consistent with the requirements of organizational efficiency. Maintains a high standard of conformance to the safety at work requirements to ensure an accident-free work environment. Performs other related warehouse and distribution duties as assigned. Assists the Senior Support Services Administrator in general daily tasks as assigned.
II. PRINCIPAL FUNCTIONS & ACCOUNTABILITIES
- Drives company vehicles up to and including a 3.5t van for the transportation of company mail, records, material and equipment, and to take these vehicles for cleaning and scheduled maintenance when directed.
- Loads and unloads vehicles at the designated collection and delivery locations.
- Sorts incoming and outgoing mail in readiness for distribution, and prepares appropriately containers, boxes, and packages in readiness for collection by the contracted courier services.
- Receives and inspects material in accordance with the internal procedures and processes, and government regulations.
- Reconciles discrepancies to the appropriate documentation at the time of receipt, and notifying the supervisor of any variances accordingly, and securing the material pending resolution.
- Picks, packs and ensures shipment of material in accordance with priorities and requisitions.
- Uses postage meter for UDS and EURO mailings
- Prepares documentation for shipping and communicates/coordinates shipping with external couriers.
- Stores and distributes age-sensitive supplies to ensure proper rotation on the first-in-first-out (FIFO) basis.
- Receives and retrieves records for/from archiving for/from internal customers and ensures that updates are made according to the records retention database, and to ensure the ongoing maintenance of this database.
- Destroys designated records in accordance with the records retention schedule and associated destruction laws.
- Provides support for the Banking Centers when needed.
- Updates and maintains statistical data.
- Erect shelving and racking and other forms of mechanical support for the efficient storage pf property and records.
- Performs administrative tasks regarding the ordering process of checks and forms under the general supervision of the Senior Support Services Administrator.
- Ensures that supply catalogues are promptly updated in accordance with supervisor’s input.
- Enter new supply item data into existing inventory spreadsheets in accordance with supervisor instructions.
- Performs general housekeeping activities in all storage and office areas to present a professional image.
- Observe and adhere to all industrial safety requirements, particularly the conformance to the wearing of safety clothing.
- Performs other related warehouse and distribution duties as assigned.
- Occasional travel required (rare).
III. QUALIFICATIONS REQUIREMENTS
A. Education and Knowledge
- Must in possession of a valid driver’s license to operate vehicles up to 3.5t weight limit.
- Preferably 2 years’ commercial or military experience performing warehousing and distribution functions.
- Awareness of standard warehousing and distribution safety procedures.
- Ability to safely use powered and non-powered material handling equipment.
- User skills for basic database software such as Microsoft Access and Excel. Experience with other logistical databases and supporting hardware are desired.
- Skilled in using common warehouse equipment, e.g. handling powered palled jack.
- Experience with shipping and receiving methods.
- Profound knowledge concerning warehouse practices, e.g. logistical processes, storing items and quality control.
B. Skills
- Ability to demonstrate initiative and self-discipline in performing duties without direct supervisor.
- Be able to demonstrate basic computer skills and the ability to use databases, spreadsheets, and word processing applications, and the knowledge to use the internet and email programs.
- Ability to communicate, interpret written documentation, and follow work instructions in German and English.
- Flexibility and ability to meet deadlines.
- Keep calm in stressful situations.
