The role
As our HR Administrator, you will run day-to-day HR administration for our EU team (currently ~20 employees). You’ll ensure smooth onboarding/offboarding, maintain accurate HR data and documentation in Personio, and prepare monthly payroll inputs for our CFO (payroll is run in-house). You’ll also support offer/contract workflows and occasionally coordinate with external recruiters. As we grow, you’ll help standardize and scale HR processes across countries, including close coordination with our Spain team.
Responsibilities
- Own employee lifecycle administration: contracts (template-based), amendments, confirmations, and standard HR letters.
- Coordinate onboarding/offboarding (checklists, document collection, internal coordination, system process triggers).
- Maintain high-quality HR master data and documentation in Personio.
- Administer time & absence workflows in Personio (tracking approvals and completeness).
- Prepare monthly payroll inputs for the CFO (changes, absences, any variable components if applicable) and manage cut-off discipline.
- Be first point of contact for employee HR admin questions; escalate complex matters to COO/CFO.
- Support offer preparation/contract workflow and occasional recruiting coordination (scheduling, recruiter liaison).
- Improve and document HR processes (templates, checklists, SOPs) and support cross-country process harmonization (incl. Spain).
- Handle employee data with strict confidentiality and comply with applicable data protection requirements.
Requirements
- ~2 years of hands-on HR administration / HR operations experience (Germany-based experience strongly preferred).
- Able to run HR admin independently for a small team with minimal supervision.
- Very strong attention to detail, reliability, and comfort with deadlines/data accuracy (especially payroll inputs).
- HRIS proficiency; Personio experience is a strong plus.
- Strong German and good English skills (international environment).
- High confidentiality and a service-oriented mindset.
Nice to have
- Experience in a growing company/scale-up where processes are still being built.
- Experience coordinating across countries (e.g., Germany + Spain).
- Basic familiarity with payroll concepts (even if not executing payroll).
