YOUR ROLE
The Executive Assistant provides comprehensive administrative and operational support to the Managing Director and Hotel Manager, ensuring the efficient day-to-day management of the Executive Office. The role serves as a key point of coordination between senior leadership, internal departments, ownership representatives, and external stakeholders, maintaining the highest standards of professionalism, confidentiality, and organizational excellence. The Executive Assistant plays a critical role in bringing Rosewood’s purpose and vision to life: Beyond providing exceptional executive support, the role helps champion quality standards, sustainability efforts, and social impact initiatives, contributing to experiences and outcomes that enrich the lives of guests, associates, and the communities we serve.
HOW YOU’LL MAKE THE PLACE

Manage complex calendars, appointments, and scheduling priorities for the Managing Director and Hotel Manager

Arrange domestic and international travel, accommodation, transportation, and itineraries for senior leadership

Coordinate executive visits, VIP arrivals, ownership visits, and corporate meetings

Prepare meeting agendas, presentations, reports, briefing materials, and follow-up documentation for Executive Committee meetings and key business reviews

Record meeting minutes, track action items, and ensure timely follow-up across departments

Act as a central point of coordination between Executive Leadership, ownership representatives, corporate teams, and hotel departments

Support internal communication efforts, associate engagement activities, and leadership events as required

Identify opportunities to improve administrative processes, efficiency, and organizational effectiveness within the Executive Office

Monitor and support quality initiatives, ensuring follow-up on key improvement actions and service excellence projects

Assist in coordinating sustainability, community engagement, and social impact initiatives aligned with Rosewood's purpose and values
COULD THIS BE YOU?

Completion of vocational training or a university degree in Hospitality Management, Tourism, or a related field
-
Previous experience as an Executive Assistant, Personal Assistant, Executive Office Coordinator, or in a similar administrative role

Experience within a luxury hotel or hospitality environment preferred

Exceptional organizational and time management skills with the ability to manage multiple priorities simultaneously

Strong attention to detail and a commitment to maintaining the highest quality standards

Excellent interpersonal, written, and verbal communication skills

Ability to build trusted relationships with senior leaders, associates, ownership representatives, and external partners

High level of professionalism, discretion, and integrity when handling confidential information

Strong proficiency in Microsoft Office applications, particularly Outlook, PowerPoint, Excel, and Word

Self-motivated, proactive, and solutions-oriented with the ability to work independently

Passion for delivering excellence, supporting meaningful social impact initiatives, and contributing to a positive workplace culture

Fluency in English and German, both written and spoken
