At a company growing at this pace, how the leadership team operates matters as much as what it decides. How 100 Luminerds stay aligned on quarterly priorities. How the CEO allocates attention to the most impactful topics. How Finance and the founders stay in sync week to week. How staff meetings are structured so that leadership time consistently lands on the right decisions — all of this compounds, for better or worse.
This is where you come in. You will be the operational connector between Sebastian (Co-Founder & CEO) and Benedikt (VP Finance & Operations) — making their collaboration run smoothly and keeping the full leadership team coordinated. In practice: you prepare our staff meetings and offsites, own the company-wide OKR process, and help us build the AI-native operating infrastructure of a fast-scaling company.
This role exists because Catha, our Chief of Staff, is going on parental leave — and the operational heartbeat she's built needs to keep beating. But this is more than a coverage hire! You’ll have a long-term progression path, working closely together with Catha when she returns.
Build and run Seba's daily operating system for non-revenue topics. Design and maintain a triage and briefing system — AI tooling and templates by default — so Seba's time on operational topics measurably decreases vs. Catha's pre-leave baseline within the first 3 months.
Own the board and investor rhythm. Prepare board meeting materials, investor reporting, and the State of Luminovo — all running on time and at quality throughout Catha's leave, with Benedikt as your key partner.
Run the OKR cycle end-to-end. Own the full quarterly OKR process: kickoff, tracking, mid-quarter reviews, and retrospectives — proactively flagging risks before they become blockers.
Support Benedikt on financial reporting and KPI work. Prepare and quality-check budget updates, business plan inputs, and management reporting — acting as a reliable thought partner on analytical tasks and making sure leadership always has current numbers.
Organize staff meetings and offsites. Own the logistics, preparation, and follow-through for all staff gatherings — so that the time of 90+ people is used well.
Automate repetitive ops processes. Starting with Seba's workflow as your primary customer, identify high-frequency manual tasks and build or configure automations (Notion, Slack, AI tools) that reduce time-on-task — then expand to other stakeholders.
Document and systematize. Convert at least 3 previously ad-hoc workflows into reusable playbooks, templates, or automated processes by month 9 — starting with board prep, offsite planning, and OKR cycle management.
Build a central wiki for Founder Operations. Create and maintain a single source of truth for the operational processes and templates that support the founders' daily work — making Luminovo more resilient as we scale.
Be a role model on Putting People First and Productive Conflict. Given this role's proximity to leadership, actively model these principles — reinforce, not replicate, any gaps.
Embrace feedback. Proactively seek and give direct, specific feedback. Treat every 1:1 and review as an opportunity to grow — and help others grow.
