Assistant Cultural, Public Outreach and Administrative Officer (Full-Time)

The Embassy of Ireland in Germany is seeking to recruit an Assistant Cultural, Public Outreach and Administrative Officer. The role requires experience or demonstration of potential in organisational work, administration, copywriting and communications. The successful candidate will be able to work to a high level in both English and German and will play a valuable role in the smooth operation of the Embassy’s cultural operations.
Roles and Responsibilities:
The precise range of duties will vary over time according to the needs of the Embassy, but will include the following:
- Assistance with the development, logistics & administration of the Embassy’s cultural programme;
- Attendance at and management of logistics for events, including liaising with property managers and service providers;
- Assistance in the preparation of the Monatsbuch newsletter;
- Draft press releases and public communications;
- Bookkeeping and accounting support for cultural expenditure;
- Translation and informal interpretation;
- Graphic and Media design assistance;
- Support for the Embassy’s visa processing function; and
- Other administrative duties as they may arise.
Candidate Profile
The successful candidate will be a highly motivated, adaptable, and enthusiastic individual with a proven capacity to multi-task in demanding situations. They will be detail orientated with excellent organisational and communication skills. They will be able to conduct work in both German and English to a high level. Ideally, they should have a broad understanding and a passion for arts and culture. They should possess drive, ambition, and motivation to have new experiences working with a broad range of art forms. Furthermore, they will have strong problem solving skills and have a growth mind-set. They will become a part of a dynamic and fast-paced Embassy team and will have opportunities to develop their skills and gain hands on experience in arts and office administration in a multinational context. The successful candidate may also be called on to support the Consular and the wider administration team during particularly busy periods. The position will also involve undertaking occasional out of hours consular duty cover (up to four times a year), and other out-of-hours requirements for which time off in lieu may be claimed.
Essential Requirements candidates must be able to demonstrate:
- Candidates must have a third level qualification in a relevant area, or a degree of work experience in a relevant area;
- Work based examples of:
o Using excellent teamwork and communication skills;
o Demonstrating your aptitude for the management and delivery of results;
o Analysis and decision making;
o Specialist knowledge, expertise and self-development; and
o Drive and commitment.
- Excellent written and oral communication skills in German and English. The candidate should be a native speaker of German or English and have a minimum C1 in the other language (a language test may be included as part of the shortlisting process);
- Working knowledge of Microsoft Office Suite (Outlook, Word, Excel); and
- The permanent legal right to reside and work in Germany.
Desirable Skills and Experience:
- Strong knowledge of Irish and German arts and culture and a genuine passion and interest in culture.
- Knowledge and experience of creating and managing social media campaigns.
- An eye for design and some ability to use graphic design and / or media editing software.
- Experience in public communications campaigns.
Terms and conditions of employment:
- The successful candidate will be hired on a one-year fixed-term contractual basis and will be based at the Embassy of Ireland to Germany in Berlin;
- The successful candidate will work on a full-time basis, 35 hours per week, Monday to Friday;
- The annual leave entitlement is 26 days per annum;
- The annual salary for the position is €42,172.75 per annum, paid locally on a monthly basis; an incremental pay-scale applies. Salaries are paid direct to a bank account, therefore, the successful candidate must have a bank account;
- There will be a probationary period of 6 months; and
- The position will also involve undertaking occasional out of hours consular duty cover (up to four times a year).

Selection Process:
- Depending on the number of applications received, a short-listing of candidates to be called for a competency-based interview may be undertaken based on the Essential Requirements outlined above;
- It is planned that interviews will be held in July;
- A written test in English and German may be included as part of the recruitment process;
- A second interview may be included in the recruitment process; and
- A panel may be set up depending on the calibre of candidates.
