Key Responsibilities
- Lead end-to-end daily office administration, establish and optimize local admin workflows, supervise routine admin operations to ensure stable office functioning for our EMEA consumer electronics team.
- Primary external liaison of the office: Independently communicate, negotiate and sustain long-term partnerships with external stakeholders, including local service vendors, property management, exhibition organisers, logistics service providers, testing institutions and business partners.
- Take charge of end-to-end coordination for business receptions: receive global headquarters delegations, overseas sales & product teams, distributors and local retail partners; coordinate factory tours, product demo meetings and technical exchange visits.
- Support regional marketing & commercial activities: assist with preparation for consumer electronics trade fairs, pop-up events, product launch activities, manage on-site logistics, venue booking and supplier coordination.
- Manage office procurement, facility service suppliers, conduct supplier performance evaluation, track service contracts and control administrative operating costs.
- Coordinate cross-department requests between Hamburg office, China HQ and other European subsidiaries; arrange executive travel, cross-border meetings, take meeting minutes and follow up action items.
- Administer office fixed assets, confidential documents, sample storage & inbound/outbound logistics for consumer electronic samples.
- Handle ad-hoc administrative projects assigned by management.
Requirements
- Minimum 3–5 years professional administrative experience, solid track record of external liaison, vendor management and business stakeholder coordination.
- Prior experience supporting commercial teams, exhibitions or client-facing activities; consumer electronics, tech hardware, retail industry background strongly preferred.
- Fluent written & spoken German and English. Mandarin Chinese is a significant advantage for communication with China headquarters.
- Strong cross-cultural communication and negotiation skills; able to interact professionally with distributors, exhibition agencies and various commercial partners.
- Highly organised, capable of multi-tasking under tight deadlines, proactive problem-solving mindset.
- Proficient in Microsoft Office suite; experience working within multinational companies is preferred.
- Able to coordinate admin workloads, drive process improvements and align with regional business demands.
