We are an international film production and distribution company specializing in immersive fulldome films for planetariums worldwide, working with science institutions, filmmakers, and planetarium operators across the globe. As fulldome cinema keeps expanding, we're building out our licensing, CRM, and administrative systems to keep up, and we're looking for a structured, detail-oriented Film Licensing & Administration Assistant to help run our licensing, invoicing, and distribution workflows.
Your Responsibilities
- Coordinate film licensing with planetariums and distribution partners, from closed deal through signed agreement, invoicing, and CRM entry
- Record ticket sale reports from theatres and invoice venues accordingly
- Prepare and manage licensing agreements, invoices, and customer records
- Support the sales process by collecting technical details (e.g., dome specifications, resolution requirements)
- Act as the main point of contact for customers after a sale closes, helping troubleshoot issues
- Help improve internal workflows and documentation, and support the team with occasional operational or office-related tasks
Requirements
- Experience with invoicing and basic bookkeeping
- Strong written English (for international clients)
- Comfortable with CRM and spreadsheet tools, ideally proficient in Excel

- A proactive, ownership-driven person, comfortable managing multiple priorities
- Background in business administration, office coordination, or licensing/contracts work preferred
- German (B1+) and Zoho experience are a plus
