We are looking for a highly organized and detail-oriented Project Manager to join our team. This role is ideal for someone with experience in IT project management, event management, or scientific programme and abstract management. You will coordinate multiple projects, manage deadlines, and work closely with clients to support the delivery of scientific conferences and abstract submission processes.
What you'll do
- You own the rollout and ongoing support of our systems for scientific congresses — from configuring submission and review workflows through to the go-live of the app and ePoster portal.
- You translate client requirements into clear, traceable requirements for development and set priorities together with the dev team.
- You spot recurring client requests and turn them into input for the product roadmap instead of one-off workarounds.
- You're the first point of contact for scientific societies and organisers: kick-off, coordination, training, status reporting.
- You plan timelines around hard deadlines (call for abstracts, review phase, programme approval, congress dates) and keep dependencies and risks in view.
- Travel internationally to provide on-site support at congresses, around 1-3x per year
- Weekend work during conference times (a few times a year)
Requirements
- Fluent in English, German and French (written and spoken).
- At least 2 years’ experience in IT project management, event management, scientific programme management, or a related field.
- Degree in Science or IT (preferred).
Key Skills
- Excellent organizational and time management skills.
- Strong attention to detail with a commitment to quality.
- Ability to manage multiple projects and deadlines simultaneously.
- Excellent communication and client relationship skills.
- Strong problem-solving and analytical abilities.
- Adaptable, proactive, and able to work in a fast-paced environment.
- Advanced proficiency in Microsoft Office.
- Experience using project management tools (e.g. Jira, Asana) is an advantage.
- Strong computer literacy and confidence working with web-based platforms and databases.
- Experience coordinating scientific programmes, abstract submissions, conferences, or similar projects is highly desirable.
- Basic knowledge of SQL and HTML or willingness to learn.
What we offer
- A product range with visible impact: what you deliver is used by several thousand attendees per event.
- A niche market with real depth — you'll become an expert in something few people can do.
- Short decision paths and direct access to product and engineering.
- International travel opportunities
If you have a passion for organization, technology, and delivering exceptional service while managing complex scientific or event-related projects, we would love to hear from you. Please send your CV to [email protected], no cover letter needed.
