coculture e.V. is seeking a part-time Finance and Administrative Managerto support the implementation of its financial work and the Little Syriaproject. The role is responsible for financial management, allowability andeligibility checks, financial documentation, budget follow-up, and support in preparing interim and final financial reports in line with donor requirements. This is a Berlin-based position within the project’s strategic management structure.
Key Responsibilities
Manage the project’s financial administration on the coculture side, which includes:
- Manage the financial administration of the Little Syria project on behalf of coculture.
- Review expenditure for eligibility, documentation, budget compliance, and donor compliance.
- Review financial reports and supporting documents submitted by the local implementation partner.
- Maintain complete, organized, and audit-ready financial records.
- Monitor expenditure, commitments, cash flow, and remaining project balances.
- Prepare payment documentation and support payment reconciliation in accordance with coculture’s internal controls and four-eyes principle.
- Support the preparation of interim and final financial reports.
- Maintain bookkeeping records through DATEV Unternehmen online in coordination with coculture’s tax adviser.
- Coordinate with the payroll office and tax adviser regarding payroll documents, accounting records, and financial deadlines.
- Support financial follow-up relating to transfers made to the local partner.
- Respond to audit, verification, and donor-clarification requests.
- Support organizational administration related to contracts,payroll documentation, personnel records, financial filing, insurance records,and statutory deadlines.
Required Qualifications
- Proven experience in NGO or donor-funded financial management
- Proven experience in financial administration, accounting, or financial management.
- Experience in an NGO, nonprofit organization or donor-funded project.
- Strong understanding of budget control, cost eligibility, supporting documentation, and audit requirements.
- Practical experience with DATEV Unternehmen online.
- Strong Excel and financial-tracking skills.
- Excellent attention to detail and strong organizational ability.
- Very good written and spoken English.
- Working proficiency in German is sufficient to handle financial documents and communicate with the payroll office and tax adviser.
- Legal authorization to work in Germany.
Preferred Qualifications
- Experience with GIZ, EU, UN, or foundation-funded projects.
- Experience reviewing partner financial reports and supporting documents.
- Familiarity with German nonprofit associations, e.V. accounting, or Gemeinnützigkeit.
- Arabic-language skills.
