As we continue to grow, we're excited to welcome a Freelance Event & Dinner Coordinator to our team! Between mid-2026 and the end of the year, we're planning approximately 7 events and 7 partner dinners across multiple countries and continents, and we're looking for someone organized and passionate to help us make it happen.
Employment Type:
Freelance, paid per event and per dinner (package-based, not hourly). Estimated workload of 25-30 hours per week on average. Remote, ideally based in Europe for time zone overlap with our team and partners. Attendance at events is not required, most coordination happens remotely with local partners and vendors.
Your Responsibilities:
- Event Coordination: Manage the full checklist for each event, registration. website, online assets, logistics with catering/venue/technical providers, and preparation of giveaways.
- Partner & Sponsor Relations: Coordinate with sponsors and partners, from wish lists to invoicing and post-event follow-up.
- Dinner Coordination: Organize our partner dinners end to end, guest lists, restaurant coordination, invitations, and follow-up.
- Promotion & Communication: Support social media, press outreach, and newsletter communications around each event.
- Post-Event Wrap-Ups: Handle thank-you communications, content sharing, and highlights after each event and dinner.
Your Skills:
- Language Proficiency: Excellent English skills (verbal and written); German is a plus.
- Organizational Ability: Structured, with excellent planning and time-management skills.
- Communication Skills: Comfortable coordinating with sponsors, speakers, and vendors independently.
- Autonomy: Able to work asynchronously across time zones without close supervision.
Bonus Skills (Not Required but Appreciated):
- Prior experience in event coordination or project management
- Interest in architecture and design
- Interest in international, cross-cultural work
