Function positioning
As a HR Shared Services Advisor, you will play a key role in delivering high-quality HR operational support across the employee lifecycle. Acting as a trusted advisor, you will support managers and employees, manage Employee Relations cases, and drive process excellence within HR Shared Services.
You will contribute to continuous improvement initiatives, ensure compliance with regulatory requirements, and enhance the overall employee experience.
The role includes the following:
- Act as the first point of contact for HR Shared Services queries from employees, managers, and stakeholders
- Deliver end-to-end HR support across the employee lifecycle in line with policies, procedures, and legislation
- Manage Employee Relations cases within defined processes, ensuring appropriate escalation based on risk, complexity, or potential litigation exposure
- Provide professional, pragmatic HR advice and coaching to line managers
- Partner with the business as a trusted HR advisor, balancing business needs with policy, process, and regulatory requirements
- Act as an escalation point for complex HR queries and ER matters
- Maintain accurate and compliant case documentation and records within HR systems
- Ensure all HR activities are delivered in line with internal controls, audit requirements, and SOX compliance
- Support HR audits and contribute to risk management and control frameworks
- Collaborate closely with HR Centres of Excellence (e.g. Talent, L&D, Mobility, Benefits)
- Drive process improvements, including process mapping, standardisation, and efficiency initiatives
- Maintain and continuously update HR process documentation and central knowledge repositories
- Navigate and manage cases using HR systems (e.g. Workday, ServiceNow, Salesforce)
- Support business continuity planning and ensure operational resilience within HR Shared Services
- Coach and support junior HR team members where required
What will help you succeed in this role
Experience & Knowledge
- Minimum 5 years’ experience in HR, ideally within a shared services or generalist environment
- Proven experience in an HR Advisory role, providing guidance, influencing stakeholders, and delivering pragmatic HR solutions
- Strong experience managing Employee Relations cases within structured processes and frameworks
- Experience operating within a regulated environment with a strong focus on risk, compliance, and audit requirements
- Solid understanding of employment legislation and its practical application in HR casework
- Experience partnering with business stakeholders and advising in line with policy and legal frameworks
- Experience with HRIS systems such as Workday and HR case management tools (e.g. ServiceNow, Salesforce or similar)
- Exposure to HR process design, process mapping, and continuous improvement initiatives

- Fluent German and English
- Strong communication skills with the ability to engage sensitively and effectively with a wide range of stakeholders
- Strong formal writing skills, with the ability to produce complex HR documentation, reports, and case materials
- Excellent influencing, negotiation, and stakeholder management skills
- Strong problem-solving skills and the ability to make sound decisions and exercise good judgement
- Analytical mindset with attention to detail and the ability to work with data, reporting, and performance analysis
- High level of IT proficiency, including Microsoft Office and HR systems
- Strong presentation skills
- Ability to manage confidential information with discretion and professionalism

Education
- Degree in Human Resources, Business Administration or a related field (or equivalent experience)

Additional information :
The role is based in Dusseldorf. All candidates need to be willing to relocate to Germany. Internal employees will be supported in case of relocation.
