We are looking for a regional consortium project coordinator to support the implementation of a multi-country humanitarian project in Sudan, Chad, and South Sudan.
The project is funded by the German Federal Foreign Office and implemented by a consortium consisting of Help – Hilfe zur Selbsthilfe e.V. (Help) and Veterinarians without Borders Germany (VSF Germany) together with national implementing partners in the three countries.
As reporting and donor communication are coordinated through the German consortium partners, the Regional Consortium Coordinator serves as the central coordination link between the three country teams and the headquarters of Help and VSF Germany. The position focuses on harmonizing processes, consolidating project information, and ensuring the quality and consistency of all submissions before they are shared with headquarters and the donor. The reporting structure is set out in a detailed communication matrix, with the regional coordinator reporting to the program's steering committee and, in particular, to Help’s HQ.
Key responsibilities
Regional Coordination

Serve as central coordination focal point between project teams in Sudan, Chad, and South Sudan and the headquarters of Help and VSF Germany.

Facilitate regular communication and information exchange between all consortium members and country teams.

Ensure harmonized project reporting processes across the three countries.

Support the alignment of templates, reporting formats, planning tools, and timelines among all implementing partners.
Project and information management

Review, harmonize, and consolidate narrative reports received from the three countries before submitting to HQs.

Ensure all reports are complete, internally consistent, and comply with donor reporting guidelines.

Oversee reporting and communications, providing final review and quality assurance before submission of external reports and updates to HQs.

Maintain, update, and regularly review the project implementation.

Organize periodic project review meetings (mid and final) to ensure progress is on track.

Serve as the focal point throughout the modification/budget realignment process, liaising with the HQs and country office staff.
Financial Coordination

Consolidate funding requests, forecasts, and budget projections from all three countries.

Review financial information for completeness and consistency before submission to HQs.

Support the coordination of budget revisions and donor-related financial requests in collaboration with country finance and program teams.

Monitor reporting deadlines and ensure the timely submission of all financial documentation.

Tracking burn rate to ensure budget monitoring.
Project Monitoring and Coordination

Maintain an overview of project implementation across the three countries and track key reporting and coordination milestones.

Organize and facilitate regular coordination meetings with country teams and headquarters.

Prepare meeting agendas, document decisions, and follow up on agreed action points.

Identify reporting bottlenecks and support country teams in resolving coordination issues.

Harmonize reporting tools and implement them in collaboration with implementing partners.

Ensure timely reporting with required information.

Summarizes the quarterly reports from the implementing organizations and forwards them to Help and VSF Germany.

> 5 years of progressive working experience in the NGO and INGO sector in international humanitarian / development programs, preferably in multi-country or consortium projects.

University degree in international development, project management, political science, economics, management, international relations, or relevant field.

Experience with donor-funded projects, ideally financed by the German Federal Foreign Office or other institutional donors.

Experience in donor reporting, financial coordination, and information management.

Strong organizational and coordination skills with the ability to manage multiple deadlines and stakeholders simultaneously.

High attention to detail, strong analytical skills, and a structured way of working.

Ability to work independently while maintaining close collaboration with diverse international teams.

Minimum 2 years’ experience in coordinating and leading staff/teams.

Strong intercultural skills and very good communication and networking skills

Ability to work result-oriented and independently even in stressful situations and to keep an overview of the projects.

Fluency in English and French; knowledge of German is of advantage.
